The Accounts Receivable/Reception will assist in billing and ensuring that the company receives payment for services completed and provide a wide variety of services which support all areas of the company.

- Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
- Creates invoices according to company practices; submits invoices to customers.
- Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
- Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
- Creates reports regarding the status of customer accounts as requested.
- Research customer discrepancies and past-due amounts with the assistance of the Project Manager and other staff.
- Collaborates with the Management to reconcile accounts receivable on a periodic (at least bimonthly) basis.
- Generates monthly billing statements.
- Review all subcontractor invoices and payments
- Sends Waivers to clients
- Submit monthly TXDOT reports (including DBE and Prompt Payments)
- Prepare and File Bonds monthly as needed
- Copies, files, and retrieves materials for accounts receivable as needed.
- Relays changes of information to appropriate employees.
- Performs other duties as assigned.
- Greet and direct all visitors to the office
- Foster and maintain a pleasant and cooperative ambience in the office
- Answer and direct incoming calls and screen phone calls/solicitors per supervisor’s instructions
- Update monthly phone extension listings and ensure they are distributed
- Process and distribute incoming mail
- Coordinate ingoing and outgoing packages to ensure items are delivered to proper person and/or jobsite
- Prepare documents for new applicants
- Operate related business machines such as copiers (including large format printer) and postal machine
- Maintain/order sufficient stock of office and kitchen supplies
- Maintain cleanliness of kitchenette
- Coordinate conference room schedules and maintain cleanliness of rooms
- Perform additional related duties as directed
